The Operations Analyst (Journeyman) provide operations and executive assistance to the General Fund Enterprise Business Systems (GFEBS) Program Manager (PM), Deputy Program Manager (DPM), Product Manager (PdMs), Deputy Product Manager (DPdMs), and PDs.
Duties and Responsibilities:
Support the integration of acquisition planning, requirements development, and resourcing into executable project plans, synchronized with the Government PM strategic vision.
Assist the Government PM in strategic and programmatic communications from program plan through execution.
Maintain quality service by establishing and enforcing organization standards.
Prepare reports and presentations by collecting, analyzing, and summarizing information.
Help develop and launch programs to improve operations and achieve success.
Participate as a member of a group in achieving project objectives.
Ensure activities involving application or implementation of recommendations are being met.
Create, organize, and maintain SharePoint document libraries with information provided from briefings, MS packets, and past documents.
Provide information needed for creating and updating briefings given to key individuals/groups internally and externally to the organization.
Track and review incoming correspondence/tasking; make recommendations for assignment and revisions to actions.
Supervise Portfolio Administrative staff.
Handle all administrative functions for clerical work, calendar appointments, Defense Travel System entry, meeting coordination and support, visitor management, and security compliance.
Prepare packages for review that are briefs or any other material that must be staffed through the PMO and/or coordination with PEO or ASA (ALT) as necessary for external signatures.
Prepare memos, letters, reports, spreadsheets as required; organizs all files; coordinate and assist in development/revision of SOPs.
Coordinate events such as town halls.
Manage visitors and associated security requirements.
Manage office supplies
Other duties as assigned
Minimum Qualifications: (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.)
Bachelor’s degree required and 5 years of experience
7 years of relevant experience may be used in lieu of degree.
5 years of experience in operations support required.
Extensive experience in the full complement of operations support activities and is capable of providing advanced advisory and liaison support to senior leaders that enables program success.
Possess and maintain a valid state operator's license
Knowledge, Skills and Abilities:
Strong communications skills (both written and oral), strong customer service and excellent interpersonal skills, ability to listen and understand what is being described by the end user as well as the ability to explain problem resolutions when necessary.
Ability to work independently without direct supervision or guidance.
Ability to occasionally work after hours and/or on-call support.
Ability to obtain a Secret clearance

The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic office equipment.
During visits to areas of operations, may be exposed to extreme cold or hot weather conditions. Is occasionally exposed to fumes or airborne particles, toxic or caustic chemicals, and loud noise.
